The Circular Economy Research and Innovation Group Wales, is being set up to encourage collaboration in circular economy research, sharing of good practice, development of guidance and case studies for industry and policy advice to Welsh Government.

This group is being led by Swansea University and the University is therefore responsible for the collection and processing of personal data including data defined as sensitive.  As such, Swansea University is the data controller and is committed to protecting the rights of members in line with the UK Data Protection Act 1998 (DPA) and the new General Data Protection Regulation (GDPR).  Swansea University has a Data Protection Officer who can be contacted through dataprotection@swansea.ac.uk.

We take the collection, storage and use of personal data very seriously. In this document, you will find an explanation of why we collect individual data as part of the Circular Economy Research and Innovation Group Wales, how we process it and the steps we take to ensure data security at all stages.

All data collected through Circular Economy Research and Innovation Group Wales is processed and stored in accordance with the Data Protection Act 1998 and the new General Data Protection Regulation (GDPR).

What kind of information do we collect?

We collect the following pieces of information from Circular Economy Research and Innovation Group Wales members, to help us develop a network that is of benefit to its members and wider stakeholders:

• Name
• Contact details
• Employer
• Work Address
• Job title
• Your role and interests in relation to the circular economy
• Dietary requirements
• Photographs and films- during meetings and events we may take photos and films which we use for marketing purposes such as on our website or in our newsletter.
  
  

How will your information be used?

Your information will be used to help us develop and facilitate a network that is benefit to its members and wider stakeholders. The registration process asks members for consent regarding:

• Subscription to a Circular Economy Research and Innovation Group Wales email list.
• Contact details to be included in a Directory of Membership.
• Sharing your contact details with Circular Economy Research and Innovation Group Wales members.
• Making your contact details publically accessible, for example via the Swansea University website, or a website set up specifically for the Circular Economy Research and Innovation Group Wales.

Members can revoke consent for any of the above at any point via an email to Dr Gavin Bunting, g.t.m.bunting@swansea.ac.uk.

What is our legal basis for processing your personal data?

Our legal basis for processing your personal data is that you have given consent to the processing as part of the registration process.

Who receives your information?

Staff at Swansea University or any other organisation that provides secretariat functions for the Circular Economy Research and Innovation Group Wales will use your personal data in order to develop and facilitate a network that is benefit to its members and wider stakeholders.

If you have provided consent for your contact details to be shared with members of the Circular Economy Research and Innovation Group Wales, or publically, then these groups may be able to access the this data. Swansea University is not responsible for how these third parties collect, store and use the data you consent to be shared.

If you consent to your data being shared publically there is a strong likelihood that it will be transferred outside of the EU, due to websites being global in nature.

How long will your information be held?

Swansea University will retain your personal information for as long as the Circular Economy Research and Innovation Group Wales Group exists, or until you cease to be a member.

Security of your information

Data Protection legislation requires us to keep your information secure. This means that your confidentiality will be respected, and all appropriate measures will be taken to prevent unauthorised access and disclosure. Only members of staff who need access to relevant parts or all of your information will be authorised to do so. Information about you in electronic form will be held on devices with password restrictions, while paper files will be stored in areas with controlled access. 

Some processing may be undertaken on the University’s behalf by an organisation contracted for that purpose. Organisations processing personal data on the University’s behalf will be bound by an obligation to process personal data in accordance with Data Protection legislation.

What are your rights?

You have a right to access your personal information, to object to the processing of your personal information, to rectify, to erase, to restrict and to port your personal information. Please visit the University Data Protection webpages for further information in relation to your rights.

How to make a complaint

If you are unhappy with the way in which your personal information has been processed you may in the first instance contact the University Data Protection Officer using the contact details above.
